Set up Google Workspace for HIPAA, the easy way

It really comes down to accepting one agreement and turning on a few settings — so you can protect your client information with confidence. This guide walks you through every click with real screenshots. No legal degree required.

The plain-English version

HIPAA is the U.S. law that protects clients' health information. Before you store or send that kind of info through Google's apps, Google needs to formally agree to help keep it safe. Here are the only two terms worth knowing:

The BAA (Business Associate Amendment)

A short agreement where Google promises to handle client data in line with HIPAA. Accepting it is free and takes a few minutes — that's most of what this guide covers.

PHI (Protected Health Information)

Any client health info — names tied to conditions, records, session notes, and so on. This is the data HIPAA is there to protect.

Good news: you don't need to be technical to do this. If you can follow along and click a few buttons, you can finish it today.

One important heads-up

Hold off on adding any real client information until you've both accepted the agreement and set up your security settings. Get everything ready first, then start adding client information.

Let's do it — step by step

Follow the path. Each step shows you exactly what you'll see on screen.

Start on the Workspace pricing page

Go to workspace.google.com/pricing, pick a plan, and begin setting up your account. You'll be offered two ways to continue.

Which one? Pick Create a new account to keep your business separate from your personal Gmail — that's what most people want. Only choose Upgrade this account if you specifically want to link Workspace to the Google account shown.

Finish setup, then open the Admin console

Just follow the setup prompts Google gives you until you're finished. When you're done, sign in at admin.google.com.

Finding your way: In the left menu, click Account, then Account settings. Don't see the menu? Click the three-line icon in the top-left corner.

Scroll down to “Legal and compliance”

This is a long page, so keep scrolling until you spot the Legal and compliance section. Click the arrow on the right to open it up.

Scroll the right thing: Use the main scrollbar on the far-right edge of the page. The little scrollbar next to the left menu only moves the menu — it won't get you there.

Add your contact details

As you scroll, you'll reach a short section asking for your contact details — your full name, address, and email. Go ahead and fill these in. (They're left blank in the screenshot below, but you should enter your own.) Then keep scrolling down.

Keep going: Once your details are in, continue down the page until you see Google Workspace/Cloud Identity HIPAA Business Associate Amendment.

Find the HIPAA agreement

When you reach it, its status will say Not accepted. That's exactly what you'd expect right now — you're about to change that.

Can't find it? Make sure you're signed in with the same account you used to set up Workspace, and that your subscription is active.

Open the agreement

Click Google Workspace/Cloud Identity HIPAA Business Associate Amendment, then click REVIEW AND ACCEPT.

Worth a read: Take a minute with the agreement and Google's HIPAA Included Functionality list — it tells you which Google apps are covered. Only use those apps for client info.

Answer three quick questions

Google asks three yes/no questions to make sure you actually need this agreement. Answer honestly, then click OK. The questions simply confirm that:

  • Your organization is covered by HIPAA.
  • You plan to use Workspace with client information.
  • You're allowed to accept agreements on your organization's behalf.

Be honest: Only answer Yes if it's genuinely true for your organization.

Review, accept — and you're done

Read through the agreement (use the scrollbar inside the pop-up window to move through it), then click I ACCEPT.

Nice work! Click Print HIPAA Business Associate Amendment to save a copy for your records. Then head back to Legal and compliance — it should now say Accepted.

After you accept: a few settings to lock in

Accepting the agreement is a big step — but it doesn't automatically make everything HIPAA-safe. These are the settings and habits that finish the job.

Lock down sign-in

Turn on 2-Step Verification, require strong passwords, and give everyone their own account.

Give only what's needed

Grant the least access necessary, and remove it quickly when someone changes roles or leaves.

Control sharing

Limit external Drive sharing, link sharing, email forwarding, and anything set to public.

Stick to covered apps

Only use client info in the Google apps listed under “HIPAA Included Functionality.”

Check your add-ons

Third-party apps and extensions aren't automatically covered by Google's agreement. Review them.

Keep good habits

Do a risk assessment, train your team, review activity logs, and write down your retention and incident plans.

Access Problems

if:

  • Your receipt does not arrive
  • A download is missing
  • A link does not work
  • The wrong file was delivered
  • A file is damaged or incomplete

Include your purchase email, order number, product name, and a short description of the problem.

Do not include confidential client, patient, or student information.

Refunds

Because digital products are delivered immediately, purchases are generally final.

A refund may be considered when:

  • The same product was purchased twice
  • The wrong product was delivered
  • A required file is missing
  • A file or link is defective and cannot be corrected
  • The product is materially different from its description
  • A refund is required by applicable law

Please allow an opportunity to restore access or correct a technical problem before requesting a refund.

Refunds are generally not provided for a change of mind, purchasing the wrong product, failure to review the description, unsupported software, lack of a Google account, or failure to download and save the files.

Submit refund requests within 14 days of purchase.

Approved refunds are processed through Lemon Squeezy and returned to the original payment method. Processing times depend on the payment provider. Lemon Squeezy describes its merchant-of-record responsibilities as including payment disputes, refunds, and tax collection.

Nothing in this policy limits mandatory consumer rights.

Cookies and Affiliate Tracking

The website may use cookies or similar technologies for essential website functions, security, checkout links, preferences, affiliate tracking, and basic performance.

Lemon Squeezy affiliate tracking may create an anonymous identifier when someone visits through an affiliate link so a later eligible purchase can be attributed to the affiliate.

Where required, non-essential tracking will be activated only after consent.

Cookies may be restricted or deleted through your browser settings, although this may affect some website functions.

Email Communications

Transactional emails may be sent for purchases, access instructions, support, and important product information.

Retention and Security

Information is retained only as long as reasonably necessary for delivery, support, business records, legal obligations, fraud prevention, dispute resolution, and license enforcement.

Delivery

Customers are responsible for entering a correct email address, checking filtered email folders, downloading the files, and keeping backup copies.

Google Sheets Products

Products designed for Google Sheets require internet access and a Google account.

A computer or laptop is recommended for the initial setup.

Excel compatibility should only be assumed when it is specifically stated in the product description.

License

Each product is licensed to the original purchaser for personal or professional use.

You may:

  • Create and customize your own working copy
  • Enter your own information
  • Use the product in your own professional workflow
  • Print completed materials for your permitted use
  • Allow authorized coworkers to collaborate in one shared working copy

Coworkers may not create separate reusable copies for their own independent use. Separate copies require separate licenses.

You may not:

  • Resell or redistribute the product
  • Share the original access link or instruction file
  • Upload the product to another website, marketplace, library, or membership platform
  • Offer it as your own free resource
  • Rebrand it or claim it as your own
  • Create copies for unlicensed users
  • Use it to create a competing product for sale

Free resources remain protected by copyright and may not be resold or redistributed.

Intellectual Property

All original spreadsheet structures, formulas, written content, instructions, graphics, and designs remain the property of Wise Spreadsheets Shop.
